About the role
The Regional Organiser is the Trust’s primary regional representative for fundraising committees, volunteers and supporters, contributing directly to the delivery of the Trust’s fundraising strategy.
As the Regional Organiser, you will work with the Regional Fundraising Team and report to the Head of Fundraising. You will be responsible for coordinating and delivering a wide variety of events, including dinners, receptions, and exclusive supporter experiences such as shoot/farm walks and simulated clay shooting days. Your role will involve end-to-end event management, budget oversight, and the creation of engagement opportunities that support the GWCT’s mission to sustain wildlife and promote sustainable land management. This position offers the opportunity to contribute significantly to the success of the GWCT’s fundraising strategy and build on the Trust’s long-standing relationships with supporters and the scientific community.
Key responsibilities
Event planning and coordination
- Develop, support and manage fundraising committees and volunteer groups to deliver a diverse calendar of regional fundraising events.
- Lead and coordinate regional fundraising events from conception to completion, including receptions, dinners, lectures, sporting days and supporter experiences.
- Attend and support meetings and fundraising events, including evenings and weekends where required.
- Oversee regionally delivered fundraising events, providing strategic and operational support.
- Secure dates, manage guest lists, coordinate invitations and RSVPs, source supplier quotes, and liaise with internal and external stakeholders to ensure successful delivery.
Event management and execution
- Lead the operational delivery of fundraising events, ensuring smooth logistics, effective volunteer engagement, and high standards of supporter experience.
- Manage the administration and delivery of auctions, raffles and fundraising draws, including the Shoot Sweepstake scheme within allocated counties.
- Supervise invitation processes and supporter communications, ensuring accuracy of data and alignment with Trust systems and processes in Salesforce, EMMA and finance.
- Support the wider fundraising and events team during large-scale or high-profile fundraising occasions.
Strategic oversight and development
- Develop regional fundraising initiatives and identify opportunities for collaboration that are aligned with the Trust’s overall fundraising strategy.
- Contribute regional insight, supporter intelligence and committee feedback to inform future fundraising and event planning.
- Support the development of new event concepts and fundraising activity, assessing feasibility and potential return on investment.
Budgeting and financial management
- Produce, manage and monitor annual county and regional fundraising budgets, including event-specific budgets.
- Ensure accurate recording, processing and reconciliation of income and expenditure in line with Trust financial procedures.
- Source competitive supplier quotes and maintain clear financial records for events, raffles, and fundraising schemes.
- Review fundraising and event financial performance regularly, identifying opportunities for improvement where appropriate.
Stakeholder engagement and stewardship
- Build and maintain strong relationships with fundraising committee members, volunteers, donors, prospects and sponsors.
- Represent the Trust professionally at external events, meetings, and supporter engagements.
- Support major donor stewardship activity in the region and at key Trust events and locations, working collaboratively with colleagues where required.
Marketing and communications
- Work closely with the communications team to support promotional activity for fundraising events and initiatives.
- Contribute to the development of event-related content, including supporter communications, digital content and newsletters, where appropriate.
- Support consistent messaging and brand presentations across regional fundraising activities.
Creative and operational support
- Collaborate with design and communications colleagues on event materials, including invitations, brochures and supporter communications.
- Support the sourcing and administration of auction and raffle items for fundraising events.
- Use Trust systems and databases effectively to support event delivery, supporter engagement and accurate record keeping (Salesforce, EMMA).
Leadership and team collaboration
- Maintain strong internal collaboration with fundraising, events, communications and partnerships teams to ensure joined-up delivery.
- Contribute positively to internal working groups and committees relevant to fundraising and supporter engagement.
- Act as a professional and knowledgeable ambassador for the Trust’s mission and values.
Compliance, governance and reporting
- Ensure compliance with Trust policies, relevant legislation, insurance requirements and data protection regulations.
- Provide regular written reports to the Head of Fundraising on regional activity, performance, and emerging opportunities.
- This is not, however, an exhaustive list of duties and the Trust’s management may, at any time, allocate other tasks which are of a similar nature or level.
